Welcome to Invitance. These Terms of Service ("Terms") govern your use of our platform and related services. By submitting your event information, completing payment, or accessing any part of the Invitance platform, you agree to be bound by these Terms in full.
1. Overview
Invitance is a digital wedding invitation platform that enables couples to create personalized online invitations, manage guest lists, distribute guest-specific QR codes, and track real-time attendance — without the need for printed tickets or physical guest lists.
2. Event Creation & Payment
Creating an event on Invitance is completely free. However, to access and manage your guest list, you are required to complete a payment through our secure payment provider, NotchPay.
Once payment is confirmed, you will be able to view and manage your guests, including QR code access and check-in features. View Pricing.
3. Event & Guest List Page Access
Your event page (guest list) is accessible to anyone who holds the link — it is not protected by an account login. You are solely responsible for keeping this link confidential and sharing it only with trusted individuals such as your protocol team, event coordinator, or check-in staff. We strongly advise against sharing your event link publicly.
We apply industry-standard security measures to protect your event, including UUID-based links (practically impossible to guess), rate limiting, and other standard practices. However, the security of your event link beyond our platform is your responsibility.
The event page is strictly read-only. No guest information can be edited from it — it is intended solely for check-in operations (QR scanning, guest search, and attendance confirmation). You may optionally hire a member of our team to manage check-ins on your behalf, subject to availability.
4. Guest Invitation Links
Each guest receives a personal invitation link tied to their entry. The following rules apply:
- One device per scan: A guest invitation can only be used on one device. The first device (and browser) that scans the QR code will be linked to the guest. Any scans from other devices will be rejected.
- First-time notice: The first time a guest opens their invitation, they will see a clear notice explaining this policy.
- Guest responsibility: Guests are responsible for keeping their invitation link private. Forwarding it to uninvited individuals is a violation of these Terms and may result in unauthorized entry.
- Portable device recommendation: We strongly recommend that guests open their invitation on a smartphone or tablet that can easily be carried to the venue for QR code presentation.
Invitance shall not be held responsible for unauthorized event access resulting from guests sharing or mishandling their personal invitation links.
5. Content Upload & Restrictions
Users may upload image files as part of their invitations or event galleries. Videos must be provided via external links (e.g., YouTube or Vimeo). You agree not to upload or share any content that is unlawful, offensive, or infringes upon the rights of others.
6. Refund Policy
All payments made for event activations are final. No refunds are provided once payment is successfully processed.
7. Event Status & Lifecycle
Each event you create on Invitance has a status that determines what actions can be performed:
- Pending: The event has been created but the event date has not yet arrived. Guest check-in and QR code scanning are not available during this stage.
- Active: The event is currently taking place (on its scheduled date). Guest check-in and QR code scanning are only available during this period to prevent accidental scans before the event.
- Expired: Events automatically expire 24 hours after the event date. Invitance reserves the right to permanently delete expired events from the platform.
8. Event Modifications or Changes

9. Limitation of Liability
Invitance is provided "as is" without warranties of any kind. We do not guarantee uninterrupted access, error-free operation, or absolute security of the platform. Invitance shall not be held liable for any loss or damages arising from the use or inability to use our services, including but not limited to unauthorized event or invitation access resulting from the mishandling of event or guest links by the event host or guests.
10. Governing Law
These Terms shall be governed by and construed in accordance with the laws of the Republic of Cameroon, without regard to conflict of law principles.
